About The Position

Join our team as an Operations Support Specialist! You’ll provide administrative and operational support, manage project schedules, track tasks and permits, and help engineering teams stay organized and productive. If you’re organized, proactive, and enjoy keeping projects and offices running smoothly, this role is for you.

Requirements

  • High school diploma or equivalent
  • 2–5 years of experience in administrative or professional support; post-secondary degree in a related field is a plus
  • Knowledge with all Microsoft Office 365 applications (Word, Excel, PowerPoint, Outlook), as well as MS Teams and Adobe Acrobat DC Pro, other Microsoft application experience (Visio, Project, Sharepoint)
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication skills and a collaborative mindset

Nice To Haves

  • Experience with Primavera P6, Jira, or similar project/task management tools
  • Familiarity with engineering, construction, or technical project workflows.
  • Experience with permitting processes or compliance documentation.
  • Ability to analyze data and generate clear, actionable insights.

Responsibilities

  • Keep projects on track by maintaining and updating schedules in Primavera P6
  • Drive team efficiency by managing Jira workflows, tasks, and dashboards
  • Monitor permit progress, ensuring submissions, approvals, and deadlines stay on schedule
  • Partner with engineering and project teams to support day-to-day project execution
  • Provide hands-on administrative and operational support across assigned offices
  • Manage day-to-day office needs to ensure smooth operations
  • Coordinate meetings, track action items, and help keep teams aligned
  • Support data entry, documentation, and reporting to maintain accurate project records
  • Identify opportunities to streamline processes and improve overall team productivity
  • Perform additional administrative and operational duties as needed
