As an Operations Support Manager at Horizon, you will… Coordinate, manage, and monitor the operations of the Detox and Inpatient programs, supervise the Behavioral Health Assistants and may supervise and coach any non-clinical staff. Work with the management team to improve processes and policies in support of organizational goals. Formulate and implement departmental and organizational policies and procedures to maximize output. Monitor adherence to rules, regulations, and procedures. Plan the use of human resources. Determine staffing requirements. Organize recruitment and placement of operational staff. Establish organizational structures. Delegate tasks and accountabilities. Establish work schedules and create weekly schedules one month in advance. Supervise staff. Monitor and evaluate performance. Obtain coverage for call-ins and PTO. Payroll management, including tabulation of PTO. Submit and process stipends. Also responsible for hiring if needed. Coordinate and monitor the work of non-clinical staff in the admission process, administrative duties, and observation and reporting of patient behavior and issues. Monitor performance and implement improvements. Ensure quality of service to patients and families. Manage quality and quantity of employee productivity. Manage maintenance of equipment and machinery. Provide technical support where necessary. Organize and arrange monthly meetings for TAs and support staff. Monitor, manage and improve the efficiency of support services such as IT, HR, and Finance. Facilitate coordination and communication between support functions. Manage patient and family operational services. Hold staff accountable to perform to the highest levels of the patient experience under the guidance of the Horizon HEART philosophy. Give tours of the facility to board members, other staff, and as otherwise directed. Perform as liaison with senior staff. Assist in the development of strategic plans for operational activity. Implement and manage operational plans. Establish and implement departmental policies, goals, objectives, and procedures. Oversee ordering of all office and facility supplies. Review and manage the linen distribution and review invoice activity to ensure appropriate counts. Assume responsibility for ordering and review of all Quest, office supplies, and linen invoices. Manage NARCAN administration program at TH - provide kits and send enrollment forms monthly to Director of Administrative Operations. Train staff, residents, family, and community to use NARCAN.

Requirements

  • Bachelor’s degree
  • 3 years of experience in management required
  • Knowledge of behavioral health, addiction, medical practice, insurance, and basic healthcare industries helpful
  • Strong background and work experience in patient services
  • Excellent computer skills and proficiency in Excel, Word, and Outlook
  • Excellent communication skills - both verbal and written
  • Excellent interpersonal skills and a collaborative management style
  • Excels at operating in a fast-paced, community environment
  • Ability to challenge and debate issues of importance to the organization
  • Ability to look at situations from several points of view
  • Ability to discuss issues persuasively utilizing details and facts
  • Ability to delegate responsibilities and hold staff accountable effectively and respectfully
  • High level of comfort working in a diverse environment
  • Sitting for extended periods, alternating between standing and sitting
  • Mobility required with repetitive wrist, hand, and finger movements
  • Handling light duties, occasionally lifting objects up to 20 pounds

Nice To Haves

  • MBA or Master's in Health Care Administration preferred
  • Experience in documenting in electronic health records a plus
