Job Purpose The Operations Support Associate and Office Manager ensures the smooth and efficient operation of the central office by managing day-to-day administrative tasks, supporting compliance processes, and providing reliable service to internal staff and external stakeholders. This role plays a key part in maintaining organizational flow through supply management, document processing, communication support, and project coordination.

Requirements

  • 21 years of age or older
  • Valid Colorado Driver’s License
  • Safe driving history - a Motor Vehicle Record check will be reviewed
  • Bachelor’s degree or comparable professional experience
  • Strong organizational abilities including process and file management, attention to detail, multi-tasking, and problem solving.
  • Excellent time management skills with flexibility and reliability to ensure deadlines are met.
  • Project/Team administrative support experience
  • Excellent written and verbal communication skills
  • High level of skill/experience with Microsoft Office 365 including Word, Excel and Teams
  • Willingness to learn new software
  • Experience/skills in setting priorities and managing multiple tasks simultaneously
  • Ability to maintain a high level of confidentiality when handling sensitive information.

Nice To Haves

  • Experience providing administrative support to senior business staff preferred

Responsibilities

  • Oversee the daily activities of the office, including maintaining the office areas, handling correspondence and deliveries, and managing supplies
  • Coordinate with the centers to make sure their offices have supplies
  • Scan, sort, pack, and weigh paperwork to state of Colorado compliance standards
  • Submit course completions to the State of Colorado in timely manner
  • Fulfill print orders
  • Prepare training binders
  • Provide support for employee recognition tasks
  • Send out NextCloud communications
  • Provide general support to office visitors
  • Act as a point of contact for internal and external customers
  • Coordinate and support a variety of ongoing and one-off projects or processes
  • Manage special projects as assigned from inception to implementation
