About The Position

Assemblix is seeking a highly organized and versatile Office Operations & Executive Support Manager on behalf of one of our clients in the Indianapolis area. This role is ideal for a proactive professional who thrives in a dynamic environment and enjoys balancing day-to-day office management with high-level executive and board support. You’ll serve as the central hub of office operations, acting as both the face of the organization and a trusted partner to leadership. This is a unique opportunity to make a meaningful impact across administrative, operational, and strategic functions.

Requirements

  • 3+ years of administrative or office support experience
  • Excellent verbal and written communication skills
  • Strong multitasking and organizational abilities
  • Proficiency in Microsoft Office and basic website management tools
  • Ability to handle confidential information with discretion

Nice To Haves

  • Prior experience supporting C-suite executives or managing office operations
  • Background in customer service or consumer products
  • Familiarity with digital tools and content management systems
  • Bilingual (Spanish is a plus)

Responsibilities

  • Serve as the first point of contact for visitors, creating a welcoming and professional environment
  • Manage incoming calls with a solution-oriented approach
  • Coordinate mail and package distribution
  • Maintain a polished and organized reception area
  • Respond to consumer inquiries via phone and email with professionalism and empathy
  • Document and track feedback to support product and marketing insights
  • Maintain response templates and escalation processes
  • Prepare summaries of consumer trends for leadership
  • Perform basic website updates (staff info, contact details, content edits)
  • Maintain digital filing systems and shared calendars
  • Support internal communications
  • Collaborate with Marketing and Sales teams to coordinate sample shipments, influencer kits, and event materials
  • Assist with company events and special projects
  • Coordinate board meeting logistics, including materials and catering
  • Manage executive scheduling and meeting preparation
  • Arrange travel and accommodations for executives and board members
  • Maintain confidential documents and communications
  • Oversee office supply inventory and vendor coordination
  • Maintain employee directory and organizational records
  • Support workplace safety and compliance efforts
  • Assist with HR communications (digital and print)
  • Maintain and update the HR calendar
  • Support employee engagement initiatives and events
  • Provide general administrative support to HR as needed
