Old industry, Swyfft mindset, big opportunity. Join us while we continue building the future of insurance. As we continue to grow, we’re looking to bring on an Operations Specialist to our team. As an Operations Specialist you will be responsible for generating and managing various types of renewal quotes for our agent network. You will play a key role in our renewal process by creating competitive quotes for our agents to ensure they have the information that they need to make the best decision for their clients. This is a fast-paced, detail-oriented, process-driven role that requires strong organizational skills and clear communication with internal teams and agents throughout the renewal process. This is a hybrid position that will be based out of our Tallahassee, Florida office requiring 3 days per week in the office. Some travel for day-to-day work, team meetings, and training may be required.

Requirements

  • 1-3 years of experience working in the P&C, commercial or other insurance businesses.
  • Tech savvy – you are able to pick up on internal systems and programs quickly.
  • You work well in a fast-paced, team-oriented environment.
  • You’re analytical and solution oriented.
  • You have exceptional attention to detail and ability to multitask.
  • You possess excellent written and verbal communication skills.
  • You enjoy taking initiative and rarely have to be asked to complete a task.
  • Reliable high-speed internet connectivity required.
  • Designated quiet work from home space.

Nice To Haves

  • Associate's or Bachelor's degree preferred.
  • We’re an MS Office environment (Outlook, Word, Excel, PowerPoint).
  • Experience using video and chat technology (MSTeams & Slack).
  • Hubspot, IMS, or related CRM and policy management systems.

Responsibilities

  • Generate and manage alternative renewal quotes for Personal Lines policies in accordance with established pricing guidelines.
  • Experience navigating insurance quoting systems and portals to produce accurate, comparable quotes for agent review and make appropriate adjustments as needed.
  • Proactively communicate with agents regarding the status of their renewal quotes and provide guidance on next steps via phone and email.
  • Maintain accurate records of all quotes, adjustments, and correspondence in the agency management system.
  • Escalate quoting discrepancies, system issues, or pricing questions to the appropriate team member.
  • Support continuous process improvement by identifying and flagging inefficiencies in the quoting workflow.
  • Work closely with our sales team to build, manage, and grow relationships with new and existing agency partners.
  • Manage and resolve a high volume of Zendesk tickets and online requests from our agents.
  • Assist in facilitating book rolls, policy transfers, and agent reporting processes.
  • Provide general administrative and ad hoc project support for the operations and sales team.
  • Manage agent credentials and licensing in multiple systems including the Swyfft web portal, IMS (agency management system), and Hubspot.
