About The Position

While working under limited supervision, Operations Specialist I orders/interprets title, appraisal, & flood reports, reviews hazard/flood insurance documentation to ensure adequate coverage, answers questions from Retail branches, Private Banking, and CSC colleagues. In addition, Operations Specialist I will use online resources such as Registry of Deeds and Tax Assessor websites to determine ownership, legal address, etc., to ensure accurate documentation in support of originating HELOC applications. Handles other duties as requested.

Requirements

  • Works under general supervision of department supervisor and manager, and know when to seek assistance when needed
  • Strong communication and negotiating skills are necessary to work in this fast-paced environment
  • Must be knowledgeable about Federal and State Consumer Lending regulations.
  • Familiar with all Consumer Lending products
  • Familiar with requirements of various appraisal and ownership scenarios.
  • Work on-site when necessary – once per week currently or as otherwise requested.
  • Minimum 1 year banking experience preferred; solid working knowledge of the Home Equity Line of Credit product is preferred.
  • Experience processing Consumer Lending products or mortgages preferred.
  • Strong organizational, multitasking, and interpersonal skills required
  • Strong attention to detail
  • Strong computer skills (Word – Excel)
  • Experienced in a fast-paced high-volume environment
  • Strong written and oral communication skills.

Responsibilities

  • Accurately create documentation in compliance with regulations.
  • Coordinate and track legal documents.
  • Order and monitor settlement services, including but not limited to property valuation, flood determination and ownership information.
  • Perform research via Registry of Deeds websites and city/town tax databases.
  • Review completed settlement service reports and report all errors/discrepancies to applicable vendor for correction.
  • Print valuation reports to be mailed to borrowers.
  • Review flood certification, and mail required documentation to borrowers if property is within a flood zone.
  • Prepare flood documentation packages for approval by Compliance.
  • Ensure proper documentation is received/reviewed prior to closing (may include insurance binders), review scheduling calendar to confirm closings.
  • Communicate with Retail/Private Banking on clear to close, closing dates, instructions, obtain payoff quotes.
  • Update loan origination system data and other system with accuracy and compliance.
  • Maintain accurate and up to date notes in loan origination system for management reporting.
  • Maintain meticulous files, accuracy, and organization of loans to ensure expedition of closing process.
  • Management of shared mailboxes (rotates weekly)
  • Ensures timely completion of assigned compliance tests.
  • Provide guidance to internal and branch staff for all direct products; Cash Reserve, Auto, Term Secured, Collateral Installment, Heat Loan, Flex Fixed Loan, Personal Loan, Personal Line of Credit, Starter Loan, Flex Line of Credit.
