About The Position

The Operations Specialist serves as content creator, case manager, and facilitator of programs and initiatives for the Inclusion team. This position coordinates the support of other key stakeholders to help fully enable and strengthen the operating model. This position requires strong writing, design and copy-editing skills to create and review training materials, presentation slides, observance guides, educational content for distribution across AdventHealth, and executive communications. Project management skills are needed to oversee the timely assignment, research and resolution of patient discrimination complaints. Organization, attention to detail, and ability to engage professionally with executives will facilitate successful event management, executive assistance, SharePoint content management, and other departmental responsibilities supported by this position. Training in Inclusion principles and demonstrated commitment to building an inclusive workplace where all team members experience wholeness and belonging are fundamental components for success in this position.

Requirements

  • Bachelor's in human resources, business or related field
  • 2 years of Human Resources experience
  • Expertise with Microsoft Teams, SharePoint and PowerPoint
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel)

Nice To Haves

  • 2 years of experience in a writing or communications role
  • 2 years of experience in Inclusion or similar employee wholeness or belonging program
  • Experience working with and supporting C-Suite level executives
  • Strong project management skills

Responsibilities

  • Supports the Operations team in the management of governance meeting logistics; i.e. creating agendas, compiling presentations, and following up with speakers.
  • Supports the management of strategic and operational initiatives including workplans and timelines.
  • Supports key events to include; leadership retreats, town halls, and more.
  • Supports AdventHealths appropriate departments operations by creating visually compelling PowerPoint presentations for internal and external executive meetings.
  • Provides office administrative support utilizing excellent customer service skills. Specific office administration duties may include, but not limited to: preparing agendas, taking minutes, and partnering with Administrative Assistants to ensure appropriate governance structures and cadenced touchpoints.
  • Carries out tasks as assigned by the leader; Shows flexibility and tolerance for ambiguity and varying priorities.
  • Recommends actions and exercises discretion regarding key business processes; Shows initiative and acts independently to resolve problems, manage multiple priorities, and follow through on projects/tasks to completion.
  • Create, review, and revise written materials to ensure tone and message align with expectations, all references are accurately cited, and content is free of grammatical, spelling and other errors.
  • Receive patient complaints related to Affordable Care Act Section 1557 language assistance and reasonable modification requests and collaborate with providers and facility teams to track cases from receipt through research, documentation and resolution. Identify trends and provide reports to leadership to adjust processes and minimize future complaints.
