LifeStraw is seeking a detail-oriented and proactive Sales Operations Coordinator to join our growing team.   • 2+ years of experience in sales coordination, order management, or customer operations.
  • Experience with ERP systems (NetSuite preferred) and EDI setup.
  • Proficient in Microsoft Excel and Google Workspace (Sheets, Slides, Docs).

  • Experience supporting sales teams in a consumer goods, retail, or mission-driven environment is a plus.

Responsibilities

  • Accurately enter and process sales orders and updates within the ERP system (NetSuite), ensuring timely communication with customers on order status, shipment details, and invoicing.
  • Coordinate vendor onboarding documentation, including EDI setup and new customer profiles.
  • Serve as the first point of contact for order-related customer inquiries, resolving issues quickly or escalating as appropriate.
  • Support compliance documentation (MAP pricing, co-op programs, etc.) in coordination with the sales and marketing teams.
  • Prepare and maintain weekly sales reports, POS recaps, and inventory summaries for internal and external stakeholders.
  • Track and communicate product allocations, shipping timelines, and order fulfillment status.
  • Manage and lead the weekly allocation call with the sales team to review open orders, available inventory, and prioritize fulfillment needs.
  • Coordinate samples and trade show materials in collaboration with the sales and marketing teams.
  • Assist in the creation and organization of sales enablement materials, including line sheets, price lists, and training decks.
  • Liaise with the warehouse and logistics team on order fulfillment and shipping issues.
  • Work closely with finance and accounting teams to support invoice processing, credit memos, and chargeback research.
  • Collaborate with the supply chain team to track production timelines for key accounts and communicate potential risks to delivery schedules.
  • Support the maintenance of accurate product, pricing, and customer data within the ERP and shared reporting tools.
  • Identify process gaps and make suggestions for improvements that increase speed, accuracy, and customer satisfaction.
  • Document and maintain SOPs for recurring sales operations tasks.
  • Build, maintain, and optimize Excel-based reports, dashboards, and data models used by leadership and cross-functional team
  • Use advanced lookup functions — including VLOOKUP, HLOOKUP, and XLOOKUP — to retrieve, reconcile, and validate data across multiple worksheets and workbooks
