About The Position

The Operations Manager is a strategic and hands-on leadership role responsible for managing daily operations across all Kingscott offices, including oversight of facilities, office infrastructure, operational systems, and vendor relationships. This role partners directly with the Chief People Officer (CPO) and collaborates closely with the Resource Manager, IT Coordinator & Technician, and Kingscott’s Technology Support Partner (Strategic Business Solutions). A critical focus of this position is supporting data-driven operational decision-making, including gathering and maintaining operational and staffing data that informs workload balancing, staffing allocations, and production capacity planning. This role requires strong operational judgment, risk awareness, and the ability to ensure Kingscott’s processes, vendor relationships, and office operations align with legal, regulatory, and contractual requirements. Within approximately two years, this role is designed to transition into an Operations/Resources Director position.

Requirements

  • Bachelor’s degree in Business Administration, Operations Management, Architecture/Engineering Management, or other position related field.
  • 7+ years of operational leadership experience, preferably within an A/E or professional services firm.
  • Strong understanding of office operations and facility management.
  • Proven experience reviewing, interpreting, and implementing legal, regulatory, and contractual requirements within operational environments; required
  • Strong operational judgment and decision-making skills.
  • Data literacy and analytical rigor.
  • Systems-thinking and process optimization mindset.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and operational platforms.
  • Ability to work in a fast-paced, dynamic environment.
  • Ability to travel throughout the state of Michigan to all four (4) offices regularly or as needed for meetings or site needs, required.

Responsibilities

  • Oversee daily operational needs for all Kingscott office locations.
  • Manage facility-related vendor relationships, leases, and service agreements.
  • Coordinate office relocations, expansions, and renovations.
  • Ensure compliance with health, safety, and security standards.
  • Serve as liaison between Kingscott, IT Coordinator & Technician, and Strategic Business Solutions.
  • Oversee implementation and support of technology systems.
  • Support strategic planning for hardware, software, and cybersecurity needs.
  • Ensure regulatory and contractual compliance related to technology systems.
  • Collect and maintain staffing and operational data for resource planning.
  • Prepare dashboards and reports related to workload distribution.
  • Support forecasting of future staffing needs.
  • Improve systems for tracking utilization and workload balancing.
  • Partner with leadership to identify operational efficiencies.
  • Build scalable systems to support growth and integration.
  • Align operations with broader firm initiatives.
  • Serve as liaison to legal counsel for operational matters.
  • Oversee review and execution of vendor agreements and leases.
  • Maintain repository of contracts and compliance documentation.
  • Ensure vendors meet legal and insurance standards.
  • Support policy development and compliance initiatives.
  • Build operational mastery during first two years.
  • Shadow Resource Manager to understand planning processes.
