About The Position

The Operations Manager for the Physician Assistant Program plays a pivotal role in ensuring the efficient and effective execution of all administrative, financial, and operational aspects of the program for the Miami Shores and STP Sites. Working closely with the Executive Dean, Program Director, faculty, students, university departments, and external partners, the Operations Manager oversees daily operations while supporting strategic planning and program growth. This role requires strong organizational, interpersonal, and problem-solving skills, along with a deep understanding of Higher Education operations. This position is In-Person

Requirements

  • A Bachelor's degree in any discipline is required.
  • 3-5 years of previous management experience required.
  • Strong budgeting and financial management skills required.
  • This position has constant interaction with students, university personnel, and external partners. The ability to maintain a courteous, appropriate, and professional demeanor is required
  • Proficient in Excel, Microsoft Office, and other software platforms, including Workday, Colleague, Informer, Adaptive Planning, Canvas, and Salesforce required.
  • Ability to communicate clearly, provide concise instructions, and send error-free emails, documents, and other correspondence to constituents.

Responsibilities

  • Manage the program’s day-to-day operations, including scheduling, staffing logistics, and resource allocation.
  • Coordinate academic calendars, program deadlines, and event planning.
  • Serve as a central point of contact for the Executive Dean, Program Directors, faculty, staff, and students regarding administrative matters.
  • Develop, monitor, and manage the program’s budget in collaboration with leadership and key staff members.
  • Handle procurement, reimbursements, and financial reporting.
  • Support forecasting and long-term financial planning.
  • Supervise administrative staff, student workers, and temporary employees.
  • Coordinate recruitment, onboarding, and training activities in partnership with HR.
  • Ensure compliance with university policies and labor regulations.
  • Oversee program facilities, classrooms, office spaces, and equipment.
  • Liaise with IT and facilities teams to address technology and maintenance needs.
  • Support the implementation of new systems and software tools.
  • Maintain records and ensure adherence to university, state, and federal policies.
  • Assist in the preparation of accreditation materials and institutional reports.
  • Implement and communicate standard operating procedures.
  • Facilitate clear and consistent communication among the Executive Dean, Program Directors, faculty, staff, and students.
  • Coordinate internal and external communications, including newsletters, websites, and announcements.
  • Organize program meetings, workshops, and special events.
  • Oversee administrative aspects of student services such as registration, orientation, and advising logistics.
  • Respond to student inquiries and escalate concerns as needed.
  • Collect and analyze student feedback to support continuous improvement.
  • Identify opportunities to streamline workflows and improve operational efficiency.
  • Support program leadership in strategic planning and implementation.
