About The Position

We are looking for a detail-oriented Operations & Logistics Coordinator to own end-to-end logistics — from domestic receiving to international import/export compliance. You will work closely with procurement, engineering, business development, and finance in a high-ownership, cross-functional role.

Requirements

  • 3+ years in shipping/receiving with direct import/export responsibility
  • Working knowledge of CBP regulations, HTS classification, and commercial trade documentation
  • Experience with EAR, OFAC screening, freight forwarders, and customs brokers
  • Proficiency with shipping software–i.e., FedEx Ship Manager, DHL, ERP/WMS
  • Excellent written and verbal communication
  • DG certification class 9
  • To conform to U.S. Government export regulations, applicant must be a (i) U.S. citizen or national, (ii) U.S. lawful, permanent resident (aka green card holder), (iii) Refugee under 8 U.S.C. § 1157, or (iv) Asylee under 8 U.S.C. § 1158, or be eligible to obtain the required authorizations from the U.S. Department of State.

Nice To Haves

  • Customs Broker License (CBL) or Certified Customs Specialist (CCS)
  • Experience with AES/EEI, ACE portal, or ITAR-controlled technology
  • Background in a defence, hardware, semiconductor, or electronics startup

Responsibilities

  • Manage international shipments with freight forwarders, customs brokers, and carriers
  • Prepare export documents: commercial invoices, packing lists, certificates of origin, and AES/EEI filings
  • Oversee customs clearance: HTS classification, duty calculation, and CBP issue resolution
  • Ensure compliance with U.S. Export Administration Regulations (EAR) and OFAC sanctions screening
  • Coordinate ISF filings for ocean freight and manage Incoterms selection with internal stakeholders
  • Receive, inspect, and process inbound shipments; verify against POs and document discrepancies
  • Prepare outbound packages via FedEx, UPS, and DHL; manage freight appointments and dock scheduling
  • Handle reverse logistics: RMA processing, return pickups, and inventory system updates
  • Maintain trade compliance records per CBP and EAR retention requirements
  • Keep ERP/WMS shipment records current; generate weekly logistics reports on status, costs, and flags
  • Manage carrier relationships, negotiate rates, and track KPIs (on-time delivery, damage rate, cost)
