No matter where you're located—on campus or online—you are part of a mission that transforms lives and makes a difference across the state of Texas and beyond The Operations Coordinator provides essential administrative and operational support to the Campus Operations department, contributing to the organization and tracking of special projects, data, and resources. This role assists with routine processes such as scheduling meetings, maintaining calendars, data entry, invoice processing, reporting accurate data, and managing communications, helping to ensure departmental activities run smoothly and efficiently. The Operations Coordinator works with departmental staff to support ongoing initiatives, foster collaboration across teams, address operational challenges, and assist in maintaining compliance and productivity within the university’s guidelines. Serves as Campus Security Authority (CSA).

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Three years of related experience.
  • Knowledge of word processing, spreadsheet applications, and Adobe software.
  • Knowledge of standard proofreading.
  • Ability to multitask and work cooperatively with others.
  • Ability to prioritize, manage multiple projects, and meet deadlines
  • Ability to work with people at all levels of an organization, respond quickly to changing situations, and work well under pressure while maintaining effectiveness.
  • Ability to work effectively in a fast-paced environment and foster a teamwork atmosphere.
  • Exceptional problem-solving and time management skills.
  • Capability to handle confidential and sensitive information with discretion.
  • Excellent written and verbal communication skills to be able to effectively guide, lead, and develop technical employees promoting team relationship skills and communication.

Responsibilities

  • Provides administrative and operational support to departmental staff, including arranging meetings, assisting with report preparation, and supporting routine communications.
  • Assists with the coordination and implementation of assigned projects, contributing to timely completion and alignment with departmental objectives.
  • Handles transactional processes including invoice processing, data entry, and tracking project documentation to ensure accuracy and timeliness.
  • Collects, organizes, and tracks operational data to assist in decision-making and process improvements.
  • Identifies and relays operational challenges and assists in developing and implementing solutions.
  • Assists with resource tracking and allocation to help ensure productivity and compliance with university and departmental guidelines.
  • Helps with the dissemination of information and supports training on updated policies and procedures.
  • Attends meetings or committees as needed to represent the department and support leadership.
  • Monitors progress of assigned projects and supports their execution.
  • Reviews basic contract documentation and assists with contract administration.
  • Acts as a representative of Campus Operations and collaborates as a member of Tarleton State University and the A&M system; performs other duties as assigned.
