About The Position

Position Overview: The Operations Coordinator plays a critical role in supporting the day-to-day operations of Pet Resource Center of Kansas City (PRCKC). This position is responsible for managing operational workflows, supporting internal communication, assisting with data entry and reporting, and helping ensure organizational efficiency across departments. This role also provides direct support to the Executive Director, Director of Advancement and leadership team, helping to streamline priorities, manage information flow, and ensure key tasks and communications are executed effectively. The ideal candidate is highly organized, detail-oriented, adaptable, and proactive, with a strong ability to manage multiple priorities in a fast-paced, mission-driven environment.

Requirements

  • 2+ years of administrative, coordination, or office support experience (nonprofit experience a plus)
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and adapt in a fast-paced environment
  • Proficiency in Google Workspace (Docs, Sheets, Drive) required
  • Experience with CRM or database systems preferred (ezyVet, donor systems, or similar)
  • Highly Organized: Able to create and maintain systems that improve efficiency
  • Proactive: Anticipates needs and takes initiative without constant direction
  • Detail-Oriented: Ensures accuracy in data, communication, and documentation
  • Adaptable: Comfortable shifting priorities and supporting multiple teams
  • Collaborative: Works well across departments and supports team success

Responsibilities

  • Administrative & Operational Support
  • Provide gerneral administrative support across departments, including document preparation, file management, and coordination of internal processes
  • Maintain organized digital filing systems (Google Drive and internal platforms)
  • Assist with scheduling meetings, coordinating logistics, and preparing materials
  • Support internal process improvements and help implement operational systems
  • Executive & Leadership Support
  • Monitor and assist in managing email inboxes, ensuring timely responses and follow-up
  • Track tasks, deadlines, and priorities for Executive leadership as needed
  • Prepare drafts of internal and external communications
  • Assist with meeting preparation, including agendas, materials, and note-taking
  • Data Entry & Reporting
  • Enter and maintain accurate data across systems (ezyVet, donor CRM, spreadsheets, etc.)
  • Support reporting needs by pulling and organizing data for leadership and department heads
  • Ensure data integrity and consistency across platforms
  • Communication & Coordination
  • Serve as a point of coordination for internal communication and follow-up
  • Help route inquiries, requests, and information to the appropriate team members
  • Support cross-departmental coordination to ensure alignment and efficiency
  • Event & Project Support
  • Provide support for organizational events and initiatives (e.g., fundraising events, community programs, staff in-service days) as needed
  • Assist with tracking timelines, deliverables, and logistics

Benefits

  • Full-time, hourly ($22.50) or salaried ($46,800) based on experience
