This full-time role focuses on providing essential operational support to a small team within the US tax and accounting services industry. The primary goal is to act as a force multiplier for the Founder, by taking ownership of key execution and process refinement tasks. This enables the Founder to dedicate her time to strategic initiatives and company growth. This role is also known as Accounting Operations Assistant / Tax Administrative Assistant.

  • Executive and Team Support: Directly support the Founder to maximize her time for high-value activities, execute critical tasks, and refine operational processes (e.g., summarizing meeting notes, managing priorities). Additionally, provide administrative and operational support to the broader tax team.
  • Operational Management: Ensure the smooth function of the business by providing broad administrative and operational assistance.
  • Workflow Administration: Build, maintain, and manage the business's ClickUp workflows and task structures.
  • Client Communication: Handle professional client communication and documentation, including sending proposals, renewal documents, and follow-up correspondence.
  • Email Management: Professionally manage and respond to client emails on behalf of the Founder.
  • 4+ years of experience in mid-to-senior level administrative or operations roles.
  • Solid skills in email and client administration (proposals, renewals, follow-ups).
  • Strong written and spoken English for professional client communication.
  • Must be proficient in any CRM or productivity tools for efficient task and project management.
  • ClickUp experience with implementation or process setup is a strong advantage, as the client is in the early stages of adopting this platform.
  • HubSpot or any CRM tool.
  • Other PM Tools: Familiarity with other project management or workflow automation tools is a plus.
  • Prior experience and foundational understanding of the US tax or accounting industry is highly beneficial to succeed in this operational role.
  • Warm, relational, and collaborative personality.
  • High autonomy and ownership, with the ability to operate with minimal supervision.
  • Strong organizational skills and attention to detail.
