The Role: We are seeking a highly organized, proactive, and adaptable Operations Assistant to support the smooth and efficient running of our venue. This hands-on role is crucial to our daily and event-day operations, providing essential administrative and logistical support to the Operations Manager. The ideal candidate thrives in a fast-paced environment, is a problem-solver, and is passionate about live events.

Requirements

  • High School Diploma
  • Working knowledge of Music Venue Operations
  • Able to handle manual labor
  • Able to handle long show days up to 15 hours
  • Must be handy, crafty, creative
  • Exhibits positive attitudes
  • Excellent written and verbal communication
  • High level of organizational and follow-through skills
  • Ability to handle various projects at one time AND make good decisions
  • Maintains personal integrity

Responsibilities

  • Administrative Support: Assist the Operations Manager with scheduling, correspondence, filing, data entry, and maintaining operational documents (e.g., permits, inventories, contact lists).
  • Logistics & Coordination: Help coordinate with internal departments (security, cleaning, parking, ticketing) and external vendors (equipment rental, waste management, etc). Assist with inventory management of operational supplies.
  • Event Day Support: Play a key role on event days, assisting with vendor check-in, distributing radios/credentials, facilitating communication between departments, and addressing operational issues as they arise. Act as an extra set of eyes and ears for the Operations Manager.
  • Facility & Grounds: Conduct routine walk-throughs with the Operations Manager to identify maintenance, safety, or cleanliness issues. Assist with pre- and post-event venue inspections.
  • Compliance & Safety: Support adherence to safety protocols and venue policies. Help maintain records related to incident reports, safety inspections, and training logs.
  • Special Projects: Assist with research, planning, and execution of operational projects such as offseason repairs, sustainability initiatives, or process improvements.
