About The Position

The Ops Admin is one of the key roles in fulfilling the promises we make to our customers. The company’s brand and financial performance rely on the proper execution of the responsibilities of this role.

Requirements

  • Minimum 5 year in a customer service role
  • Organized, detail-oriented personality with the ability to multi-task
  • Basic Computer, Internet, Word, Email, and Excel experience.

Responsibilities

  • Client Organization and Coordination:
  • Create and complete files for all new clients.
  • Scheduling jobs by managing customer's schedule, colors, and subcontractors schedule.
  • Set and Manage the Schedule.
  • Set the weekly meeting with the Production Manager to review the production schedule.
  • Support the Production Manager to ensure Color World employees and sub-contractors are producing on schedule.
  • Ensure all color information received from the clients is accurate and is appropriately recorded in the file and on the Sherwin Williams authorization form.
  • Maintain and update accurate scheduling and data updates in Client Tether, the company’s CRM daily, and in Google Calendars.
  • Customer Service:
  • Communicate with all customers as necessary to answer any questions they may have.
  • Relay any customer complaints and ensure they are resolved in a timely manner.
  • Complaint customers must be contacted within 1 hour of the complaint being received.
  • All emails or voicemails received from clients are to be responded to the same day they are received.
