About The Position

STV is seeking a highly organized and detail‑oriented Administrator to support our Construction Management team in NYC. This role provides essential administrative and document control support across all phases of construction projects, ensuring project documentation, reporting, and coordination activities are executed accurately and efficiently.

Requirements

  • Minimum of 5 years of experience in an administrative or document control role within construction management or construction OR a technical degree with 1 year of relevant construction administrative experience
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook); experience with construction document management systems preferred
  • Strong organizational skills with high attention to detail
  • Ability to manage multiple priorities in a fast‑paced project environment
  • Strong written and verbal communication skills
  • Professional demeanor when interacting with clients, contractors, and consultants

Nice To Haves

  • Experience supporting CM or PM/CM teams
  • Familiarity with construction terminology and workflows
  • Experience with document control or project management systems

Responsibilities

  • Maintain, organize, and manage project documentation in accordance with company and project standards, ensuring accuracy, completeness, and accessibility
  • Review, process, and track construction documents including contracts, submittals, RFIs, change orders, meeting minutes, and correspondence
  • Assist with preparation, filing, and distribution of project documents (electronic and hard copy) while maintaining proper version control
  • Coordinate with project managers and project teams to ensure timely submission and receipt of required documentation
  • Support scheduling of meetings, preparation of agendas, and documentation of meeting minutes
  • Assist with reports, spreadsheets, and presentations for project leadership and stakeholders
  • Track project deadlines and help ensure required documents are submitted on time
  • Provide general administrative support including phone coverage, correspondence, and coordination with internal and external stakeholders
