About The Position

This position is critical to the ministry of Sky Ranch and contributes directly to our mission of leading youth and families to know and follow Christ. The Operations Administrator and Retail Supervisor supports the ministries of Sky Ranch by creating a welcoming atmosphere for guests and supporting the Horn Creek staff with resources and administrative services. This person helps to equip individual staff and entire departments with the tools they need to serve our guests with excellence. This person is a vital coordinator of special events in Horn Creek that help to reflect the vision, mission, and values of Sky Ranch. This position also oversees our retail shop/Peak Treats and works closely with the Retail Director. ESSENTIAL DUTIES AND RESPONSIBILITIES This person administers camp resources, serves as the primary greeter for guests as the front-facing staff member at the administrative offices, and assists with daily camp operations and special events . This role includes but is not limited to: Assisting the Ops Manager in managing camp resources such as keys, vehicles, radios, nametags, gate codes, etc. Submit requisitions for purchases, order supplies and materials as requested, process credit card reports for managers as needed/requested, prepare reports and spreadsheets for managers as needed/requested, provide support for special projects Keeping an inventory of tables, chairs, tablecloths, pipe & drape, and office furniture Serve as coordinator and point person for internal staff functions such as team meetings, monthly team meals, the annual Christmas Party, etc. Manage daily mail and package deliveries Keeping breakrooms stocked in a neat and orderly manner Stocking workrooms with paper, toner, general office supplies, and maintaining printers and mail machines Serve as main point of contact for guests and vendors. Assist with a variety of administrative tasks: processing incident reports, guest surveys, participant agreements, and Lost & Found items Assist the Operations Manager as needed. In the Retail Supervisor capacity, this position will : Learn and implement industry standard customer services techniques and expectations. Conduct regular meetings with Fellows, part-time and summer retail staff to ensure guests are adequately served while visiting; continually train staff on offering excellent customer service; product knowledge; cleanliness; and point-of-sale system operational skills. Work with the Ops Manager to determine weekly schedule for Fellows, part-time and summer staff employees to set and maintain retail hours that will serve guests adequately and effectively. Conduct bank deposits and daily cash balances. Oversee completion of daily opening and closing procedures checklist. Ensure merchandise is organized and displayed in a professional and appealing manner. Arrange merchandise displays, rotating and rearranging as necessary to create an inviting environment for guests. Maintain awareness of retail's daily gross sales and profitability; operate store to remain within sales and expense budgets. Maintain retail price structure versus cost in all retail outlets. Work with the Retail Director to determine specific product offerings from apparel and gifts to food and beverage. Hold design meetings for product reviews. Evaluate input from other departments. Negotiate prices with vendors based on annual volume. Order/obtain necessary product. Inspect inventory levels. Prepare and approve Purchase Order requisitions for inventory and supply purchases related to retail. Fulfill/deliver orders for Sky Packs, Snack Packs and Camper Tees. Continually review and assess optimal additional outlets on Van property for retail sales. Work with the Camp Director to review monthly updates, financial reports, monthly semester and yearly statistical data. Assist with management of summer resources as needed. This includes but is not limited to: Staff car tags, opening/closing day shirts, and wristbands Assist with Camp Works as needed Assist with camper mailouts Assist Operational needs including Opening/Closing Day, management and distribution of operational resources, training staff, etc. Answer phones promptly, take accurate messages, and respond to requests for information timely. Perform other duties as required. OTHER DUTIES AND RESPONSIBILITIES Maintain compliance with Sky Ranch’s employee policies and procedures. Maintain compliance with all state and federal laws and regulatory requirements. Perform other duties as required.
