About The Position

The Office Administrative Assistant - Receptionist assists with the lodge Front Desk, Engineering, and Housekeeping departments by coordinating office services, budget preparation and control, records control, and other administrative duties. This role involves general office projects and assignments supporting the Executive Director of Operations, lodge Front Desk, Engineering and Housekeeping departments. Key responsibilities include assisting with budget preparation, budget and expense control within the operations departments including cap reserve. The assistant will understand current management methods to improve workflow, simplify reporting procedures, and implement cost reductions with necessary approvals. They will analyze department operating practices and processes, recommend and implement procedural or policy changes to improve efficiency, and improve work measurement of performance and office standards. The position coordinates the collection and preparation of department operating reports, drafts narrative, correspondence, financial and statistical reports, and assists in creating PowerPoint presentations for managers, the Executive Committee, and the Board of Directors. The assistant reviews and answers correspondence, keeps FAS and reserve management plans up to date, assists with department inventory, and interacts with vendors to purchase supplies. This role requires participation on the Safety Committee as a safety liaison for specific departments, overseeing online OSHA testing, and maintaining the Lodge SDS book and electronic SDS. The individual must be professional, able to work independently with little supervision, and make decisions based on their own judgment. They will also provide coverage for the Executive Assistant when needed and handle general office duties such as answering phones, taking messages, maintaining office equipment, and filing. No relocation or employee housing is provided.

Requirements

  • High School Diploma or GED is required.
  • Must have proficient skills in all Microsoft Office programs.
  • Must have excellent spelling and grammar and writing ability.

Nice To Haves

  • 2 years of Office Administrative Assistant experience or equivalent.
  • Hospitality industry experience.
  • Ability to type at the rate of 50 wpm or more.
  • Accounting skills, bookkeeping and budgeting experience.
  • Ability to obtain Colorado Notary.

Responsibilities

  • Manage general office projects and assignments supporting the Executive Director of Operations, lodge Front Desk, Engineering and Housekeeping departments.
  • Assist with budget preparation, budget and expense control within the operations departments including cap reserve.
  • Understand current and ongoing management methods in order to improve workflow, simplify reporting procedures and implement cost reductions with necessary approvals.
  • Analyze department operating practices and processes and recommend and implement procedural or policy changes to improve efficiency of the operations.
  • Improve current work measurement of performance and office standards.
  • Coordinate collection and preparation of department operating reports, such as budget recommendations, to assist with administrative issues.
  • Draft narrative, correspondence, financial and statistical reports.
  • Assist in creating PowerPoint presentations for the operations department managers as well as the Executive Committee and the Board of Directors as needed.
  • Review and answer correspondence and keep all FAS and reserve management plans up to date.
  • Assist with maintaining department inventory.
  • Interact with vendors and purchase supplies or other department needs as needed.
  • Sit on the Safety Committee and be the safety liaison for the lodge Front Desk, Engineering and Housekeeping departments.
  • Oversee online OSHA testing for the Lodge.
  • Update and maintain the Lodge SDS book and electronic SDS on the Christienet.
  • Cover for the Executive Assistant when that employee is out of the office or when needed.
  • Answer phones, take messages, maintain office equipment, filing and other general office duties.
