Job Summary: The Receptionist is responsible for managing the front desk and reception area, serving as the first point of contact for all visitors and guests. This role includes answering the main phone line, greeting visitors, coordinating office supplies and facilities requests, and supporting general office administration. The Receptionist plays a key role in ensuring a welcoming, organized, and smoothly functioning office environment.

Requirements

  • High school diploma or equivalent.
  • 1–2 years of relevant work experience in an office or administrative role.
  • Strong verbal and written communication skills in English.
  • Proficient in using computer systems to input, access, and manage information accurately.
  • Strong organizational skills to manage documents and maintain office processes efficiently.
  • Ability to work effectively in a team-oriented environment.
  • Proficient in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
  • Experience with multi-line phone systems.
  • Experience coordinating facilities and vendor services.

Nice To Haves

  • At least 1 year of experience in a customer-facing or administrative role in hospitality or a private club environment.
  • Experience with CRM tools.
  • Bilingual in English and Spanish is a plus.

Responsibilities

  • Welcome on-site visitors and announce them to the appropriate personnel.
  • Answer incoming calls on a multi-line phone system, directing calls to the appropriate contact or voicemail, taking messages, and providing assistance as needed.
  • Serve as backup for other phone lines when administrative staff are on break.
  • Schedule and maintain conference room calendars for meetings.
  • Receive, sort, and distribute incoming mail and faxes.
  • Assist with general administrative duties such as postage/shipping, scheduling, and ordering office supplies.
  • Maintain front office organization and cleanliness, ensuring it reflects the ONT Field standards.
  • Utilize design software, such as Adobe InDesign or Canva, to create flyers, digital communications, and marketing materials for events or club updates.
  • Coordinate facilities maintenance and engineering requests, including room temperature adjustments, broken equipment, and plumbing issues.
  • Enter requests into the online work order system and ensure resolution with the appropriate parties.
  • Schedule and coordinate equipment maintenance with vendors and operations staff.
  • Maintain clean and organized common areas, including kitchens and conference rooms, and encourage staff to maintain individual workspaces.
  • Assist Human Resources with administrative tasks such as preparing new hire packets, filing, and copying documents.
  • Support special projects and administrative tasks as assigned.
