About The Position

The Resident Services Coordinator serves as a primary point of contact for homeowners, residents, guests, and vendors within the community association. This role supports daily operations by providing exceptional customer service, coordinating resident services, performing administrative tasks, and ensuring smooth communication between residents, management, and service providers. The Coordinator plays a key role in promoting a positive resident experience and maintaining front office operations. The Coordinator reports to the General Manager and works onsite Monday through Friday during normal business hours.

Requirements

  • 1–3 years of experience in an administrative role, customer service, hospitality, property management, or community association support (HOA/COA preferred)
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office and association management platforms
  • Ability to multitask in a fast-paced environment while providing courteous, professional service
  • Strong organizational skills with attention to detail and follow-through
  • Ability to maintain confidentiality and use sound judgment
  • Availability for occasional evening or weekend events as required

Responsibilities

  • Resident Support & Customer Service Serve as the first point of contact for homeowners, residents, and vendors
  • Respond to inquiries related to assessments, amenities, policies, account status, access devices, and general community information
  • Assist with open work orders and customer service issues, as needed, to ensure timely resolution
  • Assist residents in navigating HOA processes, forms, and online portals.
  • Architectural Submissions & Resale Packages Support architectural review processes by assisting residents to ensure submissions are complete, tracking submissions and deposits, and coordinating communications, as needed, with residents, vendors and Boards
  • Serve as the first point of contact to support the internal Resale Package process, including the Move-In / Move-Out process and communication with Boards to support the New Owner Orientation process and calendaring of associated events
  • Administrative & Office Management Provide front desk coverage and office support, including answering phones, greeting visitors, and processing mail, including CiraMail Support financial tasks such as processing resident amenity receipts, scanning assessment payments, or coding basic invoices
  • Create and track work orders in the association management system
  • Create and maintain databases of current homeowner information
  • Maintain organized electronic and physical filing systems per association retention guidelines
  • Vendor & Maintenance Coordination Assist with scheduling routine maintenance and repairs for amenities and facilities
  • Coordinate access for vendors, contractors, and inspectors
  • Track completion of work and follow up on outstanding items
