About The Position

Position Summary: The Oncology Data Specialist will obtain cancer information through reporting and chart review. The Oncology Data Specialist will identify people that have been diagnosed with cancer and determine whether such information is reportable by law. Data is collected in several areas, including demographics, tumor characteristics, stage of disease, treatment and outcomes. Data is disseminated on local, state, and national levels. Data is analyzed for quality, including accuracy, completeness, reliability, relevance, and timeliness.

Requirements

  • Proficiency in anatomy, physiology, medical terminology.
  • Proficiency with MS excel.
  • Individuals currently credentialed through National Cancer Registrars Association with ODS (Oncology Data Specialist) certification.
  • Individuals with Associate’s degree or 60 college credit hours including Medical terminology, Anatomy/Physiology, and Healthcare Technology and Information Systems courses. (ex. LPN, RHIT).
  • Individuals with medical field experience, some college credit hours or equivalent with the resolve to complete the required 60 college credit hours for eligibility to sit for the ODS exam within 3 years from hire date. (ex. LPN, CPC)
  • Obtain, within 3 years from date of hire and maintain Oncology Data Specialist (ODS) credentials through the National Cancer Registrar's Association (NCRA).
  • Maintain professional credentials through ongoing education as required.
  • Certified members-Complete a minimum of 20 continuing education credits every two years including at least 4 credit hours earned through attendance at in-person national or state level events.
  • Non-Certified members-Complete at least 3 credits annually.
  • Maintains required annual memberships through NCRA, PACR and NYCRA.

Responsibilities

  • Create and use excel spreadsheets with large amounts of data.
  • Ensure data integrity; Perform quality control activities on registry data.
  • Following established guidelines, manuals, and definitions as defined by The American College of Surgeons-Commission on Cancer (ACoS CoC). Pennsylvania (PACR) and New York State (NYCRA) Cancer Registries, Epidemiology and End Results Program (SEER), International Classification of diseases in Oncology (ICD-O), American Joint Committee on Cancer (AJCC), North America Association of Central Registries(NAACR) and additional standard setters for inclusion in a comprehensive data base.
  • Identify patients with malignant and non-malignant, reportable disease process according to departmental case finding mechanisms.
  • Analyze patient’s cancer data and perform abstraction and coding through consolidation of best information from all available sources on demographics, diagnostic information, primary cancer site, histology, tumor characteristics, extent of disease and treatments.
  • Research patient’s cancer data for residual disease, recurrence, or additional malignancies to maintain required follow up rates as established by the CoC.
  • Adheres to reporting guidelines of the American College of Surgeons Commission on Cancer for inclusion in the National Cancer Database (NCDB) and State Registries of Pennsylvania (PACR) and New York (NYCRA).
  • Ensure timely and accurate monthly, quarterly and annual reports.
  • Establish, maintain and update databases and records for internal reports.
  • Recommend and implement new operating methods to improve data collection, analyzing, and distribution.
  • In collaboration with clinical teams, facilitate and participate in multidisciplinary tumor board meetings.
  • Lead and support audits and accreditation processes for programs such as CoC, as a member of the Cancer Committee or other National accreditation programs.
  • Actively participate in professional meetings and community outreach events related to oncology quality and accreditation.
  • Support quality improvement initiatives through data-driven insights and performance metrics
  • Collect and report oncology-related data to internal stakeholders.
