The Office Support Assistant is a position which is an integral contribution of administrative services to our firm. Qualities for our Office Support Assistant are: · Radiates professionalism. Requirements

  • High school diploma with some college preferred.
  • Prior experience in a similar role is preferred.
  • Hours required are 7:30 AM - 5:30 PM (Monday through Thursday) and 8AM – 12:00 PM on Fridays.
  • Dependable transportation

Nice To Haves

  • Notary certification a plus

Responsibilities

  • Serves as the initial point of contact for both internal and external clients. Greeting visitors, collect client information, and ensure they are welcomed in a professional manner in conformity to the firm’s standards.
  • Maintain a neat, well stocked, and organized atmosphere of reception desk and surrounding guest area, including Swag Store. Provide decoration changes with the season.
  • Maintains multiple organized inboxes, company contacts database and distribution lists to firm standards.
  • Handles employee inquiries, issues, troubleshooting, and feedback related to services within the office environment with a primary goal to positively impact on the care and comfort of employees, guests, and clients.
  • Provides general support for conference rooms including meetings and technical troubleshooting for AV equipment.
  • Process incoming and outgoing mail, including courier services with urgency. Coordinate with support staff on handling procedures.
  • Answer all incoming telephone calls and send accurate messages to appropriate departments.
  • Assists in various administrative special projects as needed.
  • Maintains a par level of office supplies, snacks, and beverages by assisting Facilities Coordinator when needed.
  • Coordinates onsite training seminars including invitations, reservations, ordering food/beverage, and setting up/cleaning up meeting rooms.
  • Can perform the physical demands of a typical office environment and lift 20lbs.
  • Run occasional business-related errands.
  • Assist with document preparation, copying, scanning and filing.
  • Additional office/administrative duties as needed
