About The Position

The Nebraska Department of Labor is looking for an Office Specialist to provide administrative and clerical support to NDOL's Hearing Officers and Appeals Referees to ensure the efficient scheduling, preparation, and processing of unemployment insurance benefit appeal hearings. This position plays a key role in maintaining accurate records, managing confidential information, and supporting due process through timely and professional office operations. Requirements

  • Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency.
  • OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
  • Knowledge of legal terminology; administrative office clerical support procedures; record keeping practices and database management; customer service processes and principles; Microsoft applications.
  • Ability to: communicate in person and by telephone and email; interact with persons of diverse backgrounds; organize workload; work in a fast-paced team environment; be detailed-oriented; manage multiple projects and provide excellent customer service; research issues effectively and process a significant number of documents within an established time frame with minimal errors; maintain regular and reliable attendance.

Nice To Haves

  • Associate degree in business related field; experience in a legal setting.
  • Experience with Microsoft Word, Excel, Access and Outlook required.

Responsibilities

  • Answer telephone calls and questions received from claimants and employers regarding unemployment insurance benefits appeals.
  • Provide office support and assist other NDOL staff.
  • Enter data and review documents received.
  • Assist in docketing and scheduling cases.
  • Review filed cases and prepare case files.
  • Scan required documentation and ensure all documents are properly filed in the electronic case file.
  • Update hearing officers and appeals referees on information received from parties.
  • Provide public assistance with the unemployment appeal process using the ability to distinguish between court procedures and legal advice, knowledge of when to seek assistance, and how to apply legal terminology.
  • Complete daily work assigned.
