About The Position

Position Overview Working under limited supervision, the Office Specialist supports the day-to-day operations of the Health Information Management Department, with a strong focus on accuracy, confidentiality, and the secure handling of medical information. Requirements

  • Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency.
  • OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
  • This position requires proficiency in English, including the ability to read, write, speak, and comprehend effectively.
  • Some positions may require: specialized training; specific data entry or word-processing speeds; a valid driver’s license or independent authorized transportation; and/or criminal history and agency-specific background checks.
  • Knowledge of: agency policies; administrative and office procedures; computer applications such as word processing, database management, and file systems; customer service practices; and terminology related to assigned work.
  • Skill in: active listening; communication; understanding and following instructions; creating documents, spreadsheets, and reports; time management; and applying critical thinking.
  • Ability to: recommend solutions; interpret and apply procedures; summarize information into reports; track and retrieve data; coordinate resources; and maintain strict confidentiality.

Nice To Haves

  • Experience working in a medical office, clinic, hospital, or health information environment.
  • Familiarity with electronic medical records (EMR) systems, medical documentation, or health information workflows.
  • Strong data entry skills and experience handling sensitive or confidential information.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • Detail-oriented with the ability to multitask in a fast-paced healthcare environment.

Responsibilities

  • Handle general office duties including answering phones, managing emails, and greeting visitors.
  • Maintain and update files, records, and databases while ensuring confidentiality and compliance with HIPAA and organizational policies, and complete Requests for Information.
  • Assist with preparing reports, presentations, and correspondence.
  • Scan, retrieve, and import documents within electronic medical record systems.
  • Complete Requests for Information.
  • Complete audits.
  • Serve as a liaison between departments to support coordinated communication and completion of documentation.
  • Provide data entry, transcribing, and specialized assistance as needed.
  • Follow departmental procedures and maintain a high level of confidentiality at all times.
