About The Position

The part-time Office Services Assistant is responsible for maintaining daily business operational duties such as administrative task management, managing building facilities, and providing support to staff for tasks related to this work. Key duties include office supply delegation and replenishment, management of incoming and outgoing mail/packages, coordinating vendor services, maintaining office equipment, set up/break down of tables for office events, and supporting staff onboarding and offboarding. The ideal candidate will be a strong multi-tasker with great organizational skills, have previous experience using Microsoft Office Suite (Word, PowerPoint, Excel), possess the ability to communicate professionally in an office setting, and have previous experience with using standard office equipment (printers, scanners, etc).

Requirements

  • A high school diploma or GED,
  • Minimum of 1 year of experience in an office services or administrative role,
  • Or equivalent combination of education and experience.
  • Must be able to comply with attendance and timeliness policies.

Responsibilities

  • Manages office upkeep including the restocking of kitchenette supplies.
  • Acts as point of contact for office facility vendors and maintenance.
  • Prepares conference rooms for meetings and events through the setup and break down of tables and chairs.
  • Processes and prepares incoming/outgoing mail and packages including post office mailings and UPS shipments.
  • Conducts various administrative tasks such as data entry, scanning, and filing documents.
  • Handles invoice management, which includes receiving invoices via email, inputting invoices along with packing slip through Adobe Sign for signatures and collaborating with the Finance department for processing.
  • Manages inventory control by stocking, ordering, and organizing office supplies and equipment.
  • Provides onboarding/offboarding support including setup for new hires and equipment return for exiting staff.
  • Occasionally use manual pallet jack to move shipment pallets.

  • Performs all other duties as assigned.
