About The Position

We are seeking a high-energy Office Manager to serve as the operational "Command Center" for our Miami branch. This is a multi-faceted role that blends Office Administration, HR/Recruitment, and Logistics. You will be the first point of contact for our clients and the primary advocate for our security personnel.

Requirements

  • Experience: 3+ years in Office Management, HR, or Administrative Leadership (Security or Logistics industry experience is a major plus).
  • Licensing Knowledge: Familiarity with state security licensing requirements is preferred.
  • Tech Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Google Suite).
  • Communication: Exceptional verbal and written communication skills; bilingual (English/Spanish) is a MUST.
  • Aptitude: A "problem-solver" mindset with the ability to multitask in a fast-paced environment.

Responsibilities

  • Recruitment & Talent Pipeline
  • Source and recruit high-quality security personnel through various job boards and community outreach.
  • Conduct initial phone screenings and in-person interviews to vet candidates for professionalism and required licensing.
  • Manage the applicant tracking process from initial contact to hire.
  • Onboarding & Compliance
  • Lead the orientation process for all new hires, ensuring they understand company protocols and site-specific duties.
  • Maintain 100% compliant employee files, ensuring all state-mandated security licenses and background checks are up to date.
  • Issue uniforms and equipment to new officers, ensuring they are field-ready on day one.
  • Front Desk & Reception
  • Greet visitors, clients, and applicants with a high level of professionalism.
  • Manage the main phone line and route inquiries to the appropriate departments (Sales, Operations, or Dispatch).
  • Maintain a clean, organized, and welcoming front office environment.
  • Procurement & Ordering
  • Monitor and restock office supplies and essential field gear.
  • Manage relationships with vendors and uniform suppliers to ensure timely delivery and cost-efficiency.
  • General Administration
  • Support the Operations Manager with administrative tasks related to scheduling and payroll verification.
  • Coordinate office meetings, employee appreciation initiatives, and safety briefings.
