The Office Manager plays a vital role in ensuring the clinic operates efficiently and effectively. This position oversees daily administrative functions, supports clinical staff, and helps create a welcoming, organized, and compliant environment for both clients and team members.

  • A bachelor's degree and three to five years of relevant and related business administration experience, or a master's degree in business administration and two years of experience in the business field, or seven years of experience in the business field, or any similar combination of education and experience.

Responsibilities

  • Manage clinic communications (email, phone, fax, copying)
  • Support clinicians with administrative needs
  • Maintain organized systems and workflows to keep operations running smoothly
  • Ensure the clinic is clean, organized, and welcoming
  • Oversee routine upkeep and handle urgent cleaning needs as they arise
  • Maintain and audit staff schedules for accuracy and efficiency
  • Coordinate across teams to support smooth daily operations
  • Partner with clinical, finance, and accreditation teams to implement programs and policies
  • Ensure compliance with company standards and CARF requirements
  • Plan and execute compliance activities such as emergency drills
  • Manage clinic budget and purchasing processes
  • Submit orders, track expenses, and reconcile receipts and credit card transactions
  • Foster a positive, professional, and values-driven team culture
  • Provide supervision to administrative staff (if applicable)
  • Support conflict resolution and promote strong working relationships
  • Serve as the go-to resource for clinic systems (e.g., MeasurePM, Google Workspace)
  • Troubleshoot and support team members with system-related questions
  • Collaborate with the clinical team to promote services
  • Plan and participate in community outreach events
  • Monitor client authorizations and key deadlines
  • Act as on-site liaison for property-related needs
  • Participate in team meetings and organizational initiatives
