About The Position

Under the supervision of the Executive Assistant, the Office Manager is responsible for upholding a high level of customer service in the lobby areas, screening visitors, and triaging appropriately within the building and programs. The Office Manager is a role that ensures the smooth and efficient operation of the agency’s daily administrative functions. This includes overseeing office systems, supporting leadership and staff, managing supplies and vendors, coordinating internal communications, and ensuring a welcoming and well-organized work environment. The Office Manager plays a vital role in maintaining operational excellence and support the mission-driven work of the agency. This is a full-time position, eligible for full benefits.

Responsibilities

  • Provide administrative support to Chief level positions and administrative departments under Executive Assistant supervision
  • Conduct site tours for the Development Team
  • Welcome and greet guests, answering reception phone, maintaining a welcoming and organized appearance for the 2nd floor space, including kitchen and conference room upkeep
  • Provide assistance with meeting catering, set up and clean up for various departments in the organization’s Mezzanine conference room
  • Receive, sort and deliver mail to appropriate parties, as well as preparation of outgoing mail
  • Coordinate visitors with the lobby reception team and greet guests who enter the 2nd floor space and direct them to the appropriate person(s)
  • Support lobby Reception team with backup coverage of the 1st floor Reception area
  • Ordering inventory of office supplies, supply management and distribution
  • Assisting Finance/Development departments with invoicing, functional timesheets, the maintenance of logs for vendor payments, youth rent contributions and their savings, as well as private and public donations
  • Assisting HR dept with the archiving of confidential documentation, training course preparations and New Hire Orientation preparation & attendance tracking
  • Assisting Facilities dept with maintaining tracking of Facility related invoices as well, creation of check requests for invoices/monthly statements received for multiple vendors
  • Assisting Programs dept with coordinating with Homeless Youth Alliance (HYA) and Finance for monthly ordering and distribution of MUNI passes and Safeway gift cards for the Sunset program participants and
  • Update and maintain Relief Pool list
  • Responds to emergencies as needed, including distribution of Narcan supply as needed
  • Any other duties as assigned
  • Oversee general office operations, supplies, vendor relationships, equipment maintenance and facilities coordination
  • Serves as the first point of contact for internal office needs and external administrative inquiries
  • Maintain office procedures and systems to support workflow, compliance, and efficiency
  • Coordinate meetings, events, and staff engagement activities
