About The Position

The Office Manager supports the accounting and administrative functions of the company by accurately entering financial data, processing invoices, and assisting with day-to-day office operations. This position plays a key role in maintaining accurate records and ensuring timely payments to vendors.

Requirements

  • High school diploma or equivalent.
  • 1–2 years of experience in accounts payable, bookkeeping, or data entry.
  • Basic knowledge of accounting principles.
  • Proficiency with Microsoft Excel, Word, and general office software.
  • Strong attention to detail and accuracy.
  • Good organizational and time management skills.
  • Ability to handle sensitive and confidential information.
  • Excellent communication skills (written and verbal).
  • Ability to work both independently and as part of a team.

Responsibilities

  • Accounts Payable (AP):  Receive, review, and verify vendor invoices and statements.
  • Match invoices with purchase orders and receipts for approval.
  • Enter AP transactions into accounting software accurately and timely.
  • Respond to vendor inquiries regarding payment status and discrepancies.
  • Maintain organized AP files, both physical and digital.
  • Data Entry:  Accurately input financial, vendor, and job-related data into accounting and ERP systems.
  • Ensure completeness and correctness of all entries.
  • Update and maintain spreadsheets, logs, and other tracking documents.
  • Administrative Support:  Assist with filing, document management, and scanning of financial records.
  • Help maintain vendor records and W-9 documentation.
  • Support the accounting or office team with additional clerical tasks as needed (e.g., mail sorting, supply ordering, answering phones).
