About The Position

Speaks Law Firm is seeking a highly motivated and detail-oriented Office Manager (Paralegal) to join our Charlotte team. Candidates must have at least three (3) years of high-volume North Carolina personal injury pre-litigation experience and a minimum of two (2) years of supervisory experience in a relevant setting. Applicants must meet the minimum requirements to be considered. No phone calls or recruiter inquiries please. Client Focused Case Management Responsibilities: Onsite staff management: Supervise a team of paralegals, legal assistants, and balance clerks, as well as providing consistent support, coaching, and corrective actions to ensure timely resolution of file issues within the team. The role also involves completing biweekly one-on-one meetings and annual performance reviews for direct reports, managing the Charlotte office calendar to ensure proper coverage for client meetings and availability during office hours, and accurately tracking goals and Key Performance Indicators for the team. Facility management: Maintain office equipment, supplies, and facilities, including regular check-ins with lease and cleaning personnel. Conduct regular safety checks and ensure all hazards and deficiencies are addressed with a sense of urgency. Client Relations: Be responsive and proactive in maintaining effective communication with attorneys, clients, insurance adjusters, and other professionals. Conduct routine client contact regarding case updates, treatment, coverage investigations, etc. Assist with legal research and case preparation. Maintain updated lien and balance information. Communicate with insurance and health adjusters regarding demand packages, policies, liens, and payment logs. Complete systematic file review of demand packages.

Requirements

  • Associate's degree or higher required
  • Minimum of three (3) years of experience as a paralegal in a NC personal injury law firm
  • Minimum of two (2) years of supervisory experience in a relevant setting
  • Familiarity with Medicare, Medicaid, and other health insurance portals
  • Passion for advocating for our clients required
  • Must be able to work on-site from 8:30am to 5:30pm Mon-Fri
  • Strong organizational skills and attention to detail
  • Professional work ethic and attention to detail
  • Intermediate to advanced computer skills
  • Ability to effectively communicate and collaborate with clients, senior leaders, and colleagues

Nice To Haves

  • Paralegal certificate and/or bachelor’s degree
  • Experience with Needles/Neos software
  • NC Notary Public
