About The Position

As an Office Manager, you will be a welcoming point of contact for the children and families we serve, engaging with them daily and helping create a positive clinic experience. You will work closely with a supportive administrative team to keep clinic operations running smoothly, assist with scheduling, and support day-to-day clinic needs. You will also help maintain the cleanliness, organization, and hygiene of the clinic throughout the day. This role is ideal for a dependable, organized individual who enjoys a fast-paced, hands-on environment and is looking to grow within a healthcare setting.

Requirements

  • High school diploma or GED required; associate’s degree preferred
  • Bilingual (English & Spanish) required; Portuguese is a plus
  • Minimum 1 year of experience in an office, administrative, or clerical setting
  • Strong organizational and multitasking skills
  • Ability to sit or stand for extended periods, move throughout the clinic, lift/restock supplies up to 25 lbs, perform light cleaning tasks, and operate standard office equipment
  • Excellent written and verbal communication abilities
  • Comfortable with basic office software and general office equipment
  • Strong attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
  • Must pass a federal background check
  • Must be able to work in a fast-paced environment

Nice To Haves

  • Portuguese is a plus
  • associate’s degree preferred

Responsibilities

  • Support the coordination and oversight of daily client and staff schedules
  • Welcome and assist children, families, and visitors with a professional, friendly demeanor
  • Answer and route incoming phone calls to the appropriate departments or team members
  • Complete general administrative tasks, including documentation management, collecting and processing coinsurance and copays, and updating/posting necessary company memos in common areas
  • Support billing operations by ensuring accurate collection of copays/coinsurance, verifying insurance information, and coordinating with the billing team on account inquiries and discrepancies
  • Maintain lobby décor to create a welcoming, festive atmosphere for children, families, and visitors
  • Monitor inventory levels and restock office and clinic supplies as needed
  • Assist with appointment confirmations and communicate scheduling updates to families
  • Help maintain the cleanliness and organization of the clinic through routine tasks (including emptying trash, sweeping/mopping common areas and restrooms, and weekly cleaning of staff lounge and cafeteria, including kitchen appliances)
  • Work collaboratively with therapists and administrative staff to support efficient daily operations
