About The Position

The Office Manager is responsible for overseeing daily office operations, supporting financial and IT functions, coordinating compliance processes (permits, rebates, inspections), managing online reputation tracking, and participating in community-facing events. This role bridges field staff, leadership, vendors, and customers to ensure operational excellence and strong public representation.

Requirements

  • 2+ years of office management or administrative leadership experience
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office Suite
  • Moderate understanding of IT systems and software platforms
  • Basic accounting knowledge
  • Professional communication skills
  • Ability to represent the company professionally in public settings

Responsibilities

  • Oversee day-to-day office operations and administrative systems
  • Maintain organized filing systems (digital and physical)
  • Manage office supplies and vendor relationships
  • Replenish and maintain the employee snack area
  • Ensure office cleanliness, organization, and professional standards
  • Assist leadership with special projects and operational initiatives
  • Perform additional office administration and office management duties as needed
  • Assist with IT migrations (email systems, software platforms, cloud transitions)
  • Coordinate with third-party IT vendors
  • Service Titan Experience or ability to learn
  • Manage and support Accounts Receivable (AR) functions, including invoicing and payment follow-up
  • Manage and support Accounts Payable (AP) functions, including vendor payments and reconciliation
  • Assist with basic accounting entries and reporting
  • Prepare payroll documentation and coordinate with payroll processor
  • Maintain accurate financial and administrative records
  • Process and track permit applications
  • Submit and monitor rebate documentation
  • Schedule inspections with municipalities and third-party agencies
  • Communicate with field technicians regarding documentation and timelines
  • Maintain compliance documentation
  • Assist with coordination and planning of public-facing events, including community outreach initiatives
  • Participate in public-facing functions such as job fairs, recruiting events, and home shows as a company representative
  • Represent the company professionally during trade shows, networking events, and community engagements
  • Support event logistics, marketing coordination, and follow-up tracking
  • Monitor and track online company reviews (Google, Yelp, Facebook, etc.)
  • Maintain internal reporting on review performance and trends
  • Coordinate with leadership regarding responses and customer service follow-up
  • Identify trends and provide feedback to improve customer experience
  • Serve as a professional point of contact for customer inquiries
  • Support scheduling and internal communication
  • Maintain strong vendor relationships
  • Assist with onboarding documentation and HR administrative records
