About The Position

Virginia Oral & Facial Surgery does more than deliver exceptional oral and maxillofacial surgical care across the Greater Richmond Area—we help change lives every day. As an Office Manager, you’ll play a critical leadership role in ensuring our practices operate efficiently, compassionately, and at the highest standard of care. You’ll lead and support front-office and clinical support teams, oversee daily operations, and serve as a key partner in creating a positive patient and employee experience. This role is ideal for a confident and organized leader who thrives in a fast-paced surgical environment and values accountability, teamwork, and patient service. The Office Manager's primary responsibility is to assist in partnering with the Regional Director of Operations, doctors, and support services to establish and maintain a successful team. The Office Manager should work in conjunction with the Doctor on the following: The clinical aspects of the provider, practice, or any of its clinicians. The clinical practices of the provider, practice, or its clinicians or ancillary personnel. Hiring or firing of clinical personnel.

Requirements

  • Bachelor’s degree in Business Administration or a related field strongly preferred and/or a minimum of two (2) years of management experience in a medical or dental practice; oral and maxillofacial surgery experience preferred.
  • Understanding of HIPAA, required.
  • Demonstrated problem solver and self-directed.
  • High degree of professionalism and professional image.
  • Strong and effective communication skills.
  • Positive attitude and change advocate.
  • Independent decision-making skills, sound judgment.
  • Excellent organization and multi-tasking skills.
  • Travel as required.
  • Ability to lift 25 pounds.
  • Prolonged periods of sitting and standing.

Nice To Haves

  • oral and maxillofacial surgery experience preferred.

Responsibilities

  • Ensure compliance with all applicable governmental agencies and regulations including OSHA, HIPAA, Department of Labor, and AAAHC Accreditation Standards.
  • Coordinate and oversee day-to-day operations of the office to ensure efficiency, productivity, and adherence to practice policies, procedures, and mission.
  • Build strong working relationships with providers and staff; facilitates meetings and communication as needed.
  • Partner with Human Resources to recruit, train, evaluate, and retain staff; conduct employee evaluations, performance management, and corrective action processes.
  • Monitor key performance indicators (KPIs), operational reports, and financial metrics to support practice goals and budgets.
  • Actively monitor and improve referring provider relationships to exceed practice expectations.
  • Champion a patient-centered experience to meet or exceed satisfaction expectations.
  • Review patient’s schedules daily to ensure that patient wait time is minimized and doctor and staff productivity is maximized.
  • Oversee maintenance of the building, equipment, and grounds (as applicable) to ensure compliance with practice standards.
  • Work in any area of the office, as needed, to ensure that the office functions in an efficient manner.
  • Lead by example and foster a collaborative, team-oriented workplace culture.
  • Assist with marketing efforts for office.
  • Other duties as assigned by Regional Support Leader or doctors.
