About The Position

Performs advanced business and administrative functions in support of site operations. This position assists with the preparation and completion of reports, coordination of personnel-related activities, and management of administrative processes. The role requires strong organizational skills and the ability to exercise independent judgment when making administrative decisions and addressing routine operational matters.

Requirements

  • Combination of education and experience normally represented by an Associate’s Degree or equivalent and 2-4 years of related work experience, including supervision. Training in office automation and demonstrated keyboard skills.
  • Advanced computer experience necessary, especially Microsoft Office, Windows and database management systems.
  • Must have excellent oral, written and interpersonal communication skills.
  • Ability to effectively and productively work with people of very diverse economic, cultural and administrative backgrounds.
  • Ability to supervise clerical and/or professional administrative personnel.
  • Must be able to work independently from general instructions.
  • Must have the ability to prioritize and organize work in a neat, logical, and well-documented manner for self and others.
  • Must be able to work with a high level of speed and accuracy.
  • Must have excellent organizational skills, strong detail orientation and the ability to maintain confidentiality.

Responsibilities

  • Under direction, ensure that the activities of this position are consistent with the mission, vision, and values of Charities Services, Diocese of Cleveland.
  • Perform client and clerical office services and management, including: typing, reception, duplicating, filing, message delivery, supply ordering, expense reports, equipment maintenance, intakes and data reporting.
  • Act as liaison with outside vendors and employees of the Catholic Charities System regarding administrative issues related to purchasing, personnel, training, and operations; supervise receiving and shipping units.
  • Analyze, establish, and maintain department file systems and record keeping systems, which may include confidential client information, to assure maximum accountability.
  • Maintain and coordinate IT needs, including maintenance of site equipment and troubleshoot basic helpdesk requests.
  • Identify opportunities for process improvement and assist in the development and implementation of system policies/procedures as it pertains to office and operational efficiency.
  • Manage data by completing input and producing necessary reports through effective use of computer-based processes and management.
  • May assist in the preparation/assembly of complex and/or confidential reports, annual budgets, flyers, proposals and other information as necessary.
  • Exercise considerable judgment and discretion in screening incoming mail, publications, and other correspondence and resolve inquiries.
  • Perform other duties as necessary to accomplish objectives.
