About The Position

This role is a vital part of Squadron Operations. The Office Manager coordinates almost all Squadron activities from meetings, to Touring, to training courses. This is a civilian position and does not require military service (including commissions and enlistment).

Requirements

  • Experience as an office manager or in a comparable administrative leadership role, with a track record of success in maintaining efficient operations.
  • Ability to manage multiple responsibilities and prioritize tasks effectively in a fast-paced environment.
  • Excellent verbal and written communication skills
  • Knowledge Microsoft Office Suite and OneDrive.
  • Use of Quick Books, familiarity with scheduling tools and project management platforms.
  • Experience managing office budgets, overseeing expense reporting, and negotiating vendor contracts to ensure cost-effective operations.

Nice To Haves

  • Background in planning and executing office events, team-building activities, or community outreach programs.
  • Bachelor’s degree in business administration, management, or related field.
  • Knowledge of workplace safety standards, legal requirements, and industry best practices for maintaining a secure and compliant office environment.

Responsibilities

  • Oversee daily office operations, including scheduling, supply management, and vendor relations.
  • Provide administrative assistance to leadership and staff, ensuring everyone has what they need to excel.
  • Plan and coordinate squadron activities and events.
  • Act as a central point for external communications
  • Manage invoices and revenue and prepare expense reports and budgets.
  • Act as resource for Tour Leaders and ride desk personnel
  • Coordinate Tour Stop record keeping and reporting
  • Clean/restock office and common use areas
  • Complete activity reports as needed/required
