About The Position

The Office Manager plays a central role in ensuring the smooth and efficient operation of departmental administrative functions. This position combines hands-on office management with supervisory responsibilities, supporting daily operations, staff coordination, compliance, and vendor management. The role requires a high level of autonomy, strong organizational skills, and the ability to manage complex processes in a fast-paced environment. You will work closely with leadership, internal teams, and external partners to maintain operational excellence, safety standards, and service continuity. Requirements

  • Associate’s degree from an accredited college or university, or equivalent education and experience.
  • At least 5 years of professional experience performing clerical, administrative, or office management duties.
  • Proven experience supervising staff and managing administrative workflows.
  • Strong knowledge of office operations, vendor and contract management, inventory control, and basic HR functions.
  • Excellent organizational, time management, and problem-solving skills with strong attention to detail.
  • Proficiency in computer systems, data entry, record management, and standard office software.
  • Strong written and verbal communication skills, with the ability to interact effectively with diverse populations.
  • Ability to exercise sound judgment, work independently, and manage sensitive and confidential information.
  • Valid driver’s license with an acceptable driving record and ability to travel as required.

Responsibilities

  • Manage day-to-day administrative operations of the department, ensuring accuracy, efficiency, and compliance with established procedures.
  • Supervise and coordinate administrative staff activities, including task prioritization, delegation, and performance oversight.
  • Prepare, maintain, and compile complex departmental reports, records, and confidential files.
  • Oversee onboarding and training coordination for new staff, including certifications, compliance tracking, and scheduling.
  • Monitor employee training and certification expirations, ensuring timely renewals and regulatory compliance.
  • Develop, implement, and update administrative and operational policies and procedures.
  • Lead vendor management activities, including contract reviews, RFP and RFQ processes, purchasing, inventory control, and payment processing.
  • Support payroll, accounts payable, accounts receivable, scheduling, and timekeeping activities.
  • Coordinate facility operations, safety drills, environmental audits, and corrective action plans.
  • Serve as a key point of contact for internal departments, vendors, and the public, resolving complex inquiries with sound judgment.
