We are currently seeking a dedicated Full-Time Office Manager to support the daily operations of our vibrant Continuing Care Retirement Community. This is a Monday–Friday position, 8:00 AM–4:00 PM. Requirements

  • High School diploma; college degree preferred.
  • Minium one year of supervisory experience, but three years of supervisory experience preferred.
  • At least three years of administrative experience, and the ability to perform the administrative skills required to lead the administrative support team.
  • Strong organization and administrative skills
  • Proficiency in Microsoft Office in particular, Word, Excel, One Note, etc.
  • Excellent interpersonal communication and leadership

Responsibilities

  • Lead the Support Services team of concierges and office assistants.
  • Assure that the office and concierge areas are maintained in a clean and safe manner and that necessary equipment and supplies are maintained to perform required duties of Office Manager and all clerical support team members
  • Assure that office personnel follow established policies and procedures.
  • Oversee multiple resident databases and systems of information and distribution of information in a timely manner.
  • Perform administrative tasks for the Executive Director. This includes but is not limited to managing vendor forms, invoicing, Moderate Income Housing Program, Verizon program, Department of Aging licensure, contracts, operational programs, projects and more.
  • Assist in coordinating and planning programs community as directed by the Executive Director.
  • Oversee the transportation and mail program at the community.
  • Oversee the scheduling and accounting of guestrooms for month end submittal to Finance. Oversee bookings of other areas and programs.
  • Prepare an annual budget covering staff salary, operational budget for support services, and capital requests.
  • Prepare and approve purchase orders, including proper account codes with prior authorization from supervisors of other departments.
  • Consult with department supervisors concerning their administrative needs and assist in eliminating/correcting problem areas and/or improvement of services.
  • Respond to inquiries concerns from residents. Refer to appropriate team members as required.
