About The Position

The Office Manager and Executive Assistant plays a pivotal role at the center of Information Services, providing high-level executive, administrative, and operational leadership in direct support of the Vice President for Information Services and Chief Information Officer (CIO). As the primary organizational hub for the CIO’s office, this role ensures seamless executive support, effective office operations, and strong coordination across Information Services and the broader University of Oregon community. This position is ideal for a highly organized, proactive professional who thrives in a fast-paced, mission-driven environment and enjoys being a trusted partner to senior leadership. The role requires sound judgment, discretion, and the ability to anticipate needs, balance competing priorities, and translate strategy into action. Flexibility is essential, including a willingness and ability to work occasional hours outside the traditional workweek to support executive priorities, events, and time-sensitive issues. The Office Manager and Executive Assistant balances strategic awareness with hands-on operational execution, enabling the CIO to focus on institutional priorities while ensuring the CIO’s office operates with professionalism, efficiency, and consistency. The role also provides day-to-day oversight and support for administrative staff and student employees, contributing to a high-functioning, service-oriented office culture.

Requirements

  • Bachelor’s degree OR equivalent education and experience.
  • Three (3) years of experience providing executive-level administrative support or equivalent professional experience.
  • Demonstrated experience managing complex calendars for senior-level executives.
  • Professional experience using common office productivity tools, including calendaring, email, word, PowerPoint, and spreadsheets.
  • Demonstrated ability to work effectively with individuals from diverse backgrounds, roles, and perspectives
  • Strong organizational, time-management, and prioritization skills, with exceptional attention to detail and the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, including the ability to tailor messages for varied audiences and executive contexts.
  • Ability to adapt and remain effective in a dynamic, technology-enabled environment.
  • Sound judgment, problem-solving skills, and a collaborative mindset, with the ability to work effectively across teams while also operating independently with minimal supervision.
  • High level of professionalism, discretion, and confidentiality in a highly visible executive setting.
  • Anticipates the needs of the CIO and the CIO’s office, independently identifying work that needs to be done and takes action with sound judgment and discretion to ensure timely, high-quality outcomes.

  • One (1) year of experience supervising staff, including primary responsibility for hiring, coaching, and performance management.
