About The Position

FlexForce Pros are seeking a dynamic and highly organized Office Manager to oversee the day-to-day operations of our client’s office. This key role is responsible for handling administrative tasks, maintaining vendor relationships and managing the financial books via Quickbooks Online. The ideal candidate is energetic, highly communicative, and takes a proactive approach to creating an organized, efficient, and welcoming workplace. This position offers flexible scheduling, with part-time to full-time hours that can fluctuate, along with it being a temp-to-hire job opportunity.

Requirements

  • High School Education or GED.
  • Proven experience in office management or administrative roles with strong clerical and organizational skills.
  • Proficiency in QuickBooks for billing, inventory management, sales tax, bank reconciliation, A/P, A/R and overall records management.
  • Excellent communication skills—both verbal and written—and phone etiquette for professional interactions.
  • Ability to manage filing systems efficiently—both digital and physical—and handle front desk responsibilities confidently.
  • Overall Microsoft Office Product knowledge, including Outlook and Word primarily.
  • Ability to stand, walk, bend, and stoop for extended periods
  • Ability to lift 10 pounds regularly without assistance
  • Good manual dexterity and hand-eye coordination
  • Must be authorized to work in the United States.

Responsibilities

  • Manage daily office and bookkeeping operations, including front desk activities and filing.
  • Handling inventory management, portfolios, submittals and close out documents via MS Office Products, such as Outlook, Word, Excel and Power Point.
  • Handle bookkeeping and payroll tasks using QuickBooks or similar accounting software to ensure accurate financial records.
  • Coordinate vendor management activities—negotiating contracts, processing invoices, and maintaining strong supplier relationships.
  • Support budgeting efforts by tracking expenses and preparing reports for management review.
