About The Position

The Office & Facilities Coordinator supports the day-to-day operations of our headquarters, ensuring a seamless, organized, and professional environment. As the primary point of contact for office logistics, meeting support, and facilities, the ideal candidate is highly organized, proactive, and hospitality-oriented.

Requirements

  • US Citizen who can pass a background check.
  • Prior experience in office operations, facilities coordination, or administrative support.
  • Strong organizational, communication, and vendor-coordination skills with sharp attention to detail.
  • Proactive, solutions-oriented, and highly professional mindset.
  • Proficiency in Google Workspace (Calendars, Chat, Docs, Sheets).
  • Ability to lift and move up to 25 pounds for deliveries, supplies, and room setups.

Responsibilities

  • Manage visitor logistics (directions, access, parking)
  • Coordinate conference room scheduling and setup
  • Prepare necessary meeting materials
  • Identify maintenance needs
  • Oversee vendors and contractors (including obtaining quotes)
  • Maintain shared spaces
  • Manage incoming/outgoing mail and deliveries
  • Track, maintain, and order stock for office, kitchen, cleaning, and printer supplies via vendors like Amazon and Instacart
  • Coordinate facility activities to minimize business disruption and support teams utilizing the garage for testing or demonstrations
