About The Position

Gupta Media was founded over 25 years ago on the idea that advertising could create huge leverage in our clients' businesses. Our early work was focused on the entertainment industry, specifically live events (Boston Calling, among others) and recorded music (Sony Music, Universal Music & Disney are all clients). We have dramatically grown our work with big brands (Amazon, Fender) and sports brands (Cleveland Cavaliers, Washington Commanders, Florida Panthers). We have a global client base with a growing local roster across B2B and B2C brands for campaign, content, and branding assignments. Gupta Media is seeking an Office Coordinator for our new Boston Headquarters. This role is all about creating a welcoming and organized environment — you'll be the first face our clients, partners, and staff see when they walk through our doors. We're seeking someone who thrives in a fast-paced, energetic office and takes pride in keeping things running smoothly.

Responsibilities

  • Meet and greet staff, clients, partners, and visitors
  • Manage visitor coordination, including adding guests to the building log and providing directions when needed
  • Handle incoming calls — screening, forwarding, and sharing messages as appropriate
  • Manage all incoming mail and packages (USPS, FedEx, UPS, and couriers)
  • Support the delivery and stocking of supplies in the Cafe and staff support areas
  • Ensure conference rooms in the reception area and office are prepared for use, and help maintain clean and organized spaces throughout the reception, café, common areas, and pantries
  • Assist with planning, coordinating, and setting up internal and client-facing events, including meetings, presentations, and office gatherings
  • Provide support as needed to our executive administrator and management team
  • Coordinate office facilities and maintenance requests
  • Take on additional responsibilities as assigned
