About The Position

Prosperity Partners (“Prosperity”) is a Chicago-headquartered public accounting firm offering best-in-class tax, accounting, and personal finance services to dynamic businesses, high net-worth individuals, and family offices. With offices throughout the United States, we are seeking an organized Office Coordinator to support our growing practice. The candidate must possess the following characteristics: exceptional interpersonal and communication skills, strong writing skills, high ability to multi-task, meticulous attention to detail, a strong desire to learn, willingness to work in a team-oriented environment and the ability to prioritize quickly and efficiently. The Office Coordinator is responsible for the day-to-day administrative and operational functions of the office. This role serves as the first point of contact for customers, visitors, and vendors, ensuring smooth office operations, excellent customer service, and a well-organized, welcoming workplace. The role oversees the processing of incoming and outgoing mail, completes daily trips to the post office, and ensures timely distribution of correspondence. The Office Coordinator coordinates with vendors and building management by collecting and maintaining vendor certificates of insurance, scheduling vendor services, and arranging repairs and maintenance as needed. Additionally, the position manages office operations by ordering office and kitchen supplies, keeping the kitchen stocked and organized, emptying the dishwasher, and maintaining clean and functional common areas. The role also supports meetings and events by scheduling meetings, preparing meeting rooms for clients and staff, and planning office parties and employee events, ensuring the office remains organized, welcoming, and fully operational at all times. Successful efforts can lead to additional responsibilities, training and education in other areas of the firm.
