About The Position

As Office Coordinator, you support a positive and productive workplace by overseeing daily office operations, facility’s needs, vendors, and weekly lunches. This role requires strong organizational skills, attention to detail, and clear communication to create a seamless employee experience. This part-time contract position is based in our office in Mountain View, CA and will be required to be in the office 5 days a week, Monday-Friday.

Requirements

  • 2-4 years’ experience in administration or office management
  • A passion for maintaining an exceptional office environment
  • An approachable can-do attitude with a keen eye for detail
  • Strong administrative skills with the ability to multitask and work with a sense of urgency
  • Resourceful mindset that enjoys working in a fast-paced environment
  • Proficiency in MS Office Suite and other technologies

Responsibilities

  • Handle incoming and outgoing mail and/or packages to keep the office running smoothly
  • Assist accounting with check deposits
  • Support new-hire onboarding by coordinating facility-related items (office supplies, Caltrain passes, security badges, etc.)
  • Contact building management on facilities-related issues
  • Implement cleaning schedules, coordinate cleanliness standards, and conduct routine office maintenance
  • Order company lunches and all snack and beverage purchases
  • Maintain and organize office and kitchen supplies
  • Set up conference rooms for presentations, meetings, classes, and other events
  • Support in coordinating celebratory events and happy hours
