Requirements

  • 1–3 years of experience in an administrative or office coordination role
  • Strong organizational and time-management capability
  • High attention to detail and follow-through
  • Professional communication and executive presence
  • Proficiency in Microsoft Office (Outlook, Teams, Excel, PowerPoint)
  • Eagerness to learn, grow, and take ownership

Responsibilities

  • Oversee day-to-day office operations
  • Manage supplies, equipment, and vendor partnerships
  • Coordinate facility’s needs, maintenance, and building services
  • Prepare conference rooms and shared spaces for executive and customer meetings
  • Support on-boarding logistics and workspace setup for new hires
  • Track office expenses and process vendor invoices
  • Act as liaison between headquarters and plant locations
  • Identify efficiency improvements across office workflows
  • Calendar coordination and scheduling support
  • Travel planning and expense documentation
  • Preparation of presentations, decks, and meeting materials
  • Track leadership action items and follow-ups
  • Maintain organized filing systems (digital & physical)
  • Handle confidential information with professionalism and discretion
