About The Position

We are seeking an experienced Office Coordinator with strong knowledge of California and Nevada labor laws to oversee HR compliance, payroll administration, and employee documentation across multiple locations. This role is compliance-focused and requires hands-on experience with wage & hour regulations, payroll audits, and employment record management in a multi-state environment. Core Responsibilities Labor Law & HR Compliance (Primary Focus) Ensure compliance with California and Nevada labor laws Monitor wage & hour practices (overtime, meal/rest periods, reporting time pay) Maintain compliant employee files and required notices Support PAGA risk mitigation through proper documentation and policy adherence Oversee onboarding, offboarding, and work authorization records Guide managers on compliant employment documentation Payroll Administration Process and audit multi-state payroll for accuracy and compliance Review timekeeping records to ensure wage & hour compliance Ensure timely and compliant final pay in CA and NV Coordinate with payroll provider to resolve discrepancies Accounts & Administrative Operations Oversee billing, payment processing, and collections Maintain client contracts and financial documentation Prepare operational reports for leadership Qualifications 3+ years HR, payroll, or compliance experience Strong working knowledge of California Labor Code and wage & hour compliance Familiarity with PAGA exposure and documentation best practices Understanding of Nevada employment law requirements Experience processing multi-state payroll Exceptional attention to detail and documentation accuracy Ability to handle confidential information with discretion Ideal Candidate Is proactive, compliance-driven, and understands that strong documentation protects the organization. Is comfortable reviewing policies, auditing payroll records, and identifying potential labor law risks before they become liabilities.

Requirements

  • 3+ years HR, payroll, or compliance experience
  • Strong working knowledge of California Labor Code and wage & hour compliance
  • Familiarity with PAGA exposure and documentation best practices
  • Understanding of Nevada employment law requirements
  • Experience processing multi-state payroll
  • Exceptional attention to detail and documentation accuracy
  • Ability to handle confidential information with discretion
