Position Overview: Provide support to the following functions: Marketing, Sales, Production, Financial, Administrative, Human Resource and Business Development.

Requirements

  • Previous office experience or administrative support roles demonstrating strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Canva and Social Media
  • Experience with data entry, filing systems, proofreading, and general clerical tasks
  • Knowledge of office management procedures including calendar management and time management techniques
  • Demonstrated ability to handle multiple tasks efficiently while maintaining attention to detail
  • Excellent verbal and written communication skills
  • Excellent organizational and time management skills

Nice To Haves

  • Experience with social media and digital marketing helpful
  • Bilingual abilities are highly valued to assist diverse clients and team members effectively

Responsibilities

  • Be the friendly first point of contact for customers (phones, emails, follow-ups)
  • Operate multi-line phone systems to handle incoming calls efficiently and courteously
  • Assist with calendar management, scheduling appointments, meetings, and reminders for staff or executives
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to maintain accurate records
  • Create sales packages, send and schedule estimates for Sales Associates
  • Ensure all customer mailing lists are up to date.
  • Maintain inventory and update all point of sale material.
  • Perform clerical duties including photocopying, scanning, mailing, and organizing files or records
  • Participate in regional or national on-going training conferences/meetings.
  • Social Media Posting (not all content creation)
