GENERAL DESCRIPTION: The Office Associate is responsible for office operations and comprehensive administrative support within StructureCare’s centralized Operational Excellence team. This role performs a wide range of administrative and clerical tasks to support the efficient operation of the StructureCare office and to facilitate the support of remote team members. The Office Associate executes established processes, follows documented procedures, and escalates questions or exceptions to the Compliance and Administrative Manager. Responsibilities may vary day to day based on business needs; however, the role remains focused on reliable execution, coordination, and administrative continuity. This position is fully based in the Lancaster office and provides support to additional locations and remote coworkers through centralized coordination and facilitation. The Office Associate’s responsibilities will be centered around six main focuses: Office operations, including maintaining a well-organized, functional and professional environment that supports coworker productivity and effectiveness. Technology and equipment coordination, including the ordering, tracking, distribution, and return of StructureCare owned equipment and tools, in coordination with IT and internal teams. Administrative coordination, including scheduling, resource tracking and logistical support that enables smooth day-to-day operations. System support coordination, including facilitating access, requests, and documentation needed to support project and internal initiatives essential for successful delivery. Administrative support to co-workers and leadership, including support for remote employees, ensuring seamless communication, coordination, and operational effectiveness. Operational continuity support including backfill coverage to maintain operational continuity in the absence of other Operational Excellence Team members.

Requirements

  • Must hold a high school diploma and 3+ years of a++ professional office setting.
  • Proficiency in Microsoft applications is critical to this position, including the effective use of the Internet.
  • Ability to work independently and prioritize tasks effectively.
  • Strong interpersonal and organizational skills
  • Excellent written and verbal communication skills
  • Ability to prioritize projects, anticipate needs, and problem solve
  • Valid driver’s license.

Responsibilities

  • Maintain a well-organized, efficient, clean office environment that supports coworker productivity.
  • Provide general support to the office, including answering phones, mail management, appointment management, visitor reception and greetings, and scheduling utilization of meeting room space.
  • Responsible for inventory tracking, replenishment planning, ordering, procurement, and security of office supplies.
  • Maintain a comprehensive and current knowledge of personnel and their functions within the organization.
  • Support the policies and procedures of the organization as a responsible coworker, providing a model for others in the organization to follow.
  • Responsible for the coordination of procuring hardware, software, and field tools with the support of our High IT and Research and Development Teams.
  • Assign and maintain an asset tracking system tied to both individual and shared company equipment.
  • Coordinate technology and software requests and tasks in support of the office and coworkers.
  • Support organizing and coordinating StructureCare virtual and in-person meetings, training sessions, and celebrations.
  • Support the preparation leading up to a new coworker joining the organization. This includes travel, overnight accommodations, new coworker forms, training checklists, business cards, and a welcome package.
  • Review requisition requests for accuracy and completeness and assist with purchase order creation in accordance with procurement guidelines.
  • Support assigned special projects to maintain operational continuity through process and system enhancements and improvements.
  • Support administrative coordination for StructureCare Leadership as requested.
  • Assume the responsibilities and tasks of an absent Operational Excellence Team member to ensure seamless continuation of ongoing tasks and projects.
