About The Position

The Office Associate II performs general clerical/office activities to assist administrative and/or professional personnel. This position interacts with the general public by providing information and assistance as it relates to the department's activities/services, rules and regulations. Assignments are typically routine and include clear instructions consistent with established procedures. The budget period is from July 1, 2025 through June 30, 2028.

Requirements

  • High school diploma, GED, or equivalent required.
  • One-year of related experience or required course work/certification.
  • Knowledge of general clerical/office practices and procedures including basic office workflow procedures.
  • Knowledge of data processing methods, information storage and retrieval techniques.
  • Skilled in clerical/office functions such as typing/data entry, filing, answering telephones.
  • Skilled in operation of basic office equipment and machines, computer terminal, typewriter, copy machines, adding machines, etc.
  • Skilled in basic mathematical computations.
  • Skilled in the use of computer hardware and applicable computer software.
  • Skilled in communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and receive work direction.
  • Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls.
  • Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine.
  • No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions.
  • Ability to communicate effectively in spoken and written standard English.
  • As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
  • A background investigation will be conducted prior to the offer of employment. A signed authorization for the release of personal information will be required if selected for an interview.

Responsibilities

  • Greets visitors and answers phones; directs person(s) to the appropriate personnel and/or takes message. Provides standard information regarding department procedures, policies, services, etc. upon request.
  • Enters statistical and narrative data into computer files according to established procedures and generates standard lists and reports as required.
  • Opens, sorts and distributes mail to appropriate personnel.
  • Provides customer services by providing forms/applications and answering routine questions regarding departmental programs and services.
  • Prepare files including organizing and assembling required documents and preparing and affixing appropriate labels.
  • Assist in scheduling meetings and appointments for department personnel and in maintaining appointment and or/ facilities calendars.
  • Types various materials including correspondence, reports, etc.; checks for accuracy and completeness; prepares for printing and distributes.
  • Files documents, forms correspondence, etc., according to established filing system.
  • Gathers, complies and/or review data to ensure completeness and accuracy. May prepare standard recurring reports.
  • Enters applications for admissions in the selected database system or any other related record keeping platform(s).
  • Enters credit and continuing education registrations where applicable.
  • Perform related work as required.
