About The Position

The Department of Marine Resources (DMR) landings program and licensing division is seeking applicants for an Office Associate II position within the Biological Monitoring & Assessment Division/Bureau of Marine Science. This is a limited period, office support role based in the Augusta office at the Marquardt Building. The position involves significant outreach work with lobster harvesters to ensure 100% reporting compliance, assisting with electronic reporting, and providing support for licensing activities. Responsibilities include contacting harvesters regarding incomplete or failed reports, guiding them through electronic reporting, performing data entry for license applications into the LEEDS database, issuing tags, assisting walk-in clients, and covering for licensing staff. The role also involves assisting harvesters and dealers with license application issues (mail, in-person, online), handling reporting-related inquiries, managing phone calls on a rotating schedule, and assisting with deposit and tag orders. The position requires strong communication and organizational skills and the ability to work with limited supervision, splitting time between the Landings Program and Licensing Division.

  • Ability to use independent decision-making on appropriate processes, information to process, and actions to take in accordance with standard procedures.
  • Assumes the qualifications of Office Assistant I, Office Assistant II, and Office Associate I.

Nice To Haves

  • Knowledge of relational database structure and implementation.

Responsibilities

  • Contact harvesters and explain reporting requirements for incomplete or failed reports.
  • Assist industry with electronic reporting outreach, including answering questions and guiding them through the process.
  • Assist licensing in data entry of license applications into the Licensing Database (LEEDS).
  • Issue tags based on license type.
  • Assist with walk-ins at the counter.
  • Cover in the absence of licensing staff.
  • Assist harvesters and dealers with issues related to submitting license applications (mail, in person) or obtaining licenses online.
  • Handle questions related to reporting that come into licensing.
  • Cover phones on a rotating schedule and direct calls appropriately.
  • Assist with deposit and tag orders on a rotating basis.
